Executive Assistant
Our client operates as a wedding planning platform, dedicated to delivering outstanding customer experiences and simplifying the wedding planning journey for couples globally. They are currently seeking an Executive Assistant/ Office Manager to provide crucial support to the CEO and key leaders within the organization. This is a hybrid opportunity in North Austin.
What YOU get to DO at this growing company:
- Serve as the primary point of contact for the CEO and executive team, managing their calendars, scheduling appointments, travel, and organizing meetings.
- Prepare and submit expense reports, ensuring accuracy and compliance with company policies.
- Facilitate seamless communication between the CEO and internal/external stakeholders, including drafting and proofreading emails, memos, and other correspondence.
- Assist with special projects and initiatives as needed, such as event planning, market research, and executive presentations.
- Manage confidential information with discretion and professionalism, maintaining the highest standards of confidentiality and integrity.
- Act as a liaison between the CEO and various departments, fostering effective cross-functional collaboration and communication.
- Manage the day-to-day administrative functions their our office, including office supply management, facilities coordination, administrative support, and data analysis using Excel functions
- Assist with the e-commerce store receiving purchases, managing inventory, submitting refunds, coordinating shipments, etc.
What you NEED to SUCCEED in this challenging role:
- Proven experience as an Executive Assistant or similar role
- Excellent organizational and time-management skills, with the ability to prioritize tasks and meet deadlines effectively.
- Strong communication skills, both written and verbal, with a keen attention to detail.
- Proficiency in calendar management, travel coordination, and expense reporting software/tools.
- A high degree of professionalism and discretion when handling sensitive information.
- Adaptability and flexibility to work in a hybrid remote/in-person setting.
- Bachelor’s degree or equivalent work experience preferred.
